Privacy Policy

ListRunHQ collects, uses, and protects personal information to operate its on-demand real estate services platform. This policy explains what we collect, how we use it, and your choices.

1. Introduction

ListRunHQ (“we”, “us”) collects, uses, and protects personal information to operate the Platform, match customers with vendors, process service requests, support users, prevent fraud and abuse, and meet legal obligations. This policy applies to all users of the Platform, including customers, realtors, property managers, landlords, homeowners, and vendors.

2. Information We Collect

  • Name
  • Email address
  • Phone number
  • Account login information
  • Property and service request details
  • Property addresses entered for service
  • Vendor business information (e.g. business name, contact, service area, qualifications)
  • Uploaded files and photos (e.g. job completion proof)
  • Support messages and dispute correspondence
  • Payment status and payment processor reference information (we do not store full card numbers)
  • Device, log, usage, and security event data (e.g. IP address, browser, timestamps)

3. Information We Do Not Intentionally Collect (MVP)

ListRunHQ does not intentionally collect Social Insurance Numbers (SINs), full banking credentials, or full credit card numbers. When live payments are enabled, payment card data is handled by a third-party payment processor and is not stored by ListRunHQ.

4. How We Use Information

  • Create and manage user accounts;
  • Process service requests and orders;
  • Match customers and vendors;
  • Track job status and verify completion;
  • Provide customer and vendor support;
  • Detect and prevent fraud, abuse, and policy violations;
  • Improve the Platform and develop new features;
  • Maintain the security and integrity of the Platform;
  • Meet legal, regulatory, and compliance obligations.

5. Sharing of Information

We share personal information only as needed and may share it with:

  • Vendors assigned to a job, where needed to complete the work;
  • Customers, where needed to track and complete orders;
  • Payment processors, when live payments are enabled;
  • Hosting and cloud infrastructure providers;
  • Support, fraud-prevention, and security service providers;
  • Legal, regulatory, and law enforcement authorities where required by law;
  • Professional advisors such as lawyers and accountants where reasonably necessary.

6. Vendor and Customer Visibility Limits

  • Customers cannot see other customers’ orders.
  • Vendors can only see jobs that are available to them or that have been assigned to them.
  • Vendors do not see unnecessary customer information until it is needed to perform the job.
  • ListRunHQ administrators may access records for support, safety, compliance, and operational purposes.

7. Data Security

  • Secure authentication and session management;
  • Role-based access controls;
  • Private storage with signed/private file URLs where possible;
  • Audit logs and security event logging;
  • Rate limiting where appropriate;
  • Data minimization; and
  • Internal access controls.

No system is perfectly secure. We work to protect personal information but cannot guarantee absolute security.

8. Data Retention

We retain personal information for as long as needed to operate the Platform, fulfil orders, comply with legal obligations, resolve disputes, support accounting and tax requirements, prevent fraud, and pursue legitimate business interests. When information is no longer required, we work to securely delete or anonymize it.

9. Your Rights and Choices

Subject to legal, operational, security, and dispute-resolution requirements, you may contact us to request access to, correction of, or deletion of your personal information. We may need to verify your identity before acting on a request.

10. Cookies and Analytics

We may use cookies and analytics for login, security, performance monitoring, analytics, and improving the Platform. A more detailed cookie management feature may be added in a future release. Your browser settings may allow you to limit cookies, though some Platform features may not work without them.

11. Marketing Communications

We will only send marketing emails or SMS where permitted by applicable law (including Canada’s Anti-Spam Legislation). You may unsubscribe from marketing messages at any time. Transactional and service messages relating to your account, security, and orders may still be sent because they are required to deliver the service.

12. Children

The Platform is not intended for children or minors. We do not knowingly collect personal information from individuals under the age of majority in their jurisdiction.
